Orders and purchases

When you place an order, we collect the information needed to accept, process and deliver it. This normally includes your name, email address, telephone number, billing address, delivery address, the products ordered, the amount paid and any information you add to the order.

Our online shop uses WooCommerce. Order information is stored in the website’s WooCommerce database and is accessible only to Millbridge Press and authorised service providers who need it to operate or support the website.

We use order information to:

  • Process and fulfil your order
  • Send order confirmations and delivery information
  • Take payment and issue refunds
  • Respond to questions about an order
  • Deal with cancellations, returns, damaged items and complaints
  • Prevent fraud and misuse
  • Maintain financial, tax and business records

If customer accounts are made available and you choose to create one, we will also store the account details you provide and your associated order history. You are responsible for keeping your login details confidential.

Payment processing

Payments are processed securely by Square. When you pay, Square receives the payment and transaction information required to authorise the payment, prevent fraud and comply with its legal obligations.

Millbridge Press does not receive or store your complete payment-card number or card security code. We may receive limited payment information, such as the type of payment method, the last digits of a card, the payment status and a transaction reference.

Square processes personal information in accordance with its own privacy notice for customers .

Delivery

We may provide your name, delivery address and other information necessary to deliver your order to Royal Mail or another delivery provider shown at checkout.

Delivery providers may use this information only as necessary to transport, track and deliver the parcel, manage failed deliveries and comply with their own legal obligations.

Contacting us

  • Your name and email address
  • The subject and contents of your message
  • Information you choose to include in your enquiry
  • Our correspondence with you

We use this information to read and respond to your enquiry and to manage any subsequent correspondence or request.

Our contact form uses WPForms and security services including Google reCAPTCHA to help detect spam and automated misuse. These services may process technical information such as your IP address, browser and device information for security purposes.

How we use your information

We use personal information to:

  • Process, fulfil and deliver orders
  • Take payments and issue refunds
  • Communicate with you about an order or enquiry
  • Provide information about our books and publishing activities
  • Handle requests from readers, booksellers, reviewers and the press
  • Operate, maintain and improve the website
  • Prevent spam, fraud, misuse and security threats
  • Remember and manage your cookie preferences
  • Establish, exercise or defend legal rights
  • Comply with legal, regulatory, tax and accounting obligations

Our lawful bases

UK data protection law requires us to have a lawful reason for using personal information. Depending on the circumstances, we rely on:

  • Contract — to take steps at your request before a purchase and to process, fulfil, deliver, cancel or refund your order.
  • Legal obligations — to retain financial and transaction records, respond to lawful requests and comply with consumer, tax and accounting law.
  • Legitimate interests — to respond to enquiries, provide customer service, operate and secure the website, prevent fraud and protect our legal rights. We consider and balance these interests against your rights and freedoms.
  • Consent — for optional cookies or similar technologies where consent is required. You may withdraw your consent at any time.

Marketing

We do not use information supplied for an order or enquiry to send marketing messages unless you have separately chosen to receive them or another lawful basis clearly applies.

If we introduce an email newsletter and you subscribe to it, you will be able to unsubscribe at any time using the link in each message or by contacting us.

Who we share information with

We do not sell or rent your personal information. We may share it when necessary with trusted organisations that help us run the website and fulfil orders, including:

  • Website hosting, maintenance, backup and security providers
  • WooCommerce and providers supporting our online shop
  • Square and the banks or payment networks involved in your payment
  • Royal Mail and other delivery providers
  • Contact-form, spam-prevention and email-delivery providers
  • Professional advisers such as accountants, insurers or legal advisers
  • Regulators, courts, law-enforcement bodies or public authorities where disclosure is required or permitted by law

These organisations receive only the information reasonably necessary to provide their services or meet their legal obligations.

International transfers

Some of our service providers or their supporting systems may process personal information outside the United Kingdom.

Where UK data protection law requires it, appropriate safeguards must be in place. These may include a UK adequacy regulation, approved contractual protections or another legally recognised transfer mechanism.

How long we keep information

We retain personal information only for as long as it is reasonably required for the purpose for which it was collected and to meet our legal obligations.

  • Completed-order, payment, refund, invoice and accounting records will normally be retained for up to six years after the end of the relevant tax or accounting period.
  • Failed, cancelled or incomplete order records will normally be retained for no longer than 12 months unless they are needed to resolve a dispute, prevent fraud or meet a legal obligation.
  • General enquiries and correspondence will normally be retained for no longer than two years after our last meaningful contact.
  • Customer-account information, if accounts are offered, will be retained while the account remains active and may be deleted following a reasonable period of inactivity.
  • Technical and security records are retained only for as long as needed to operate, troubleshoot and protect the website.
  • Cookie preferences are retained for the period described in our Cookie Policy.

Information may be retained for longer where it is required to resolve a dispute, establish or defend a legal claim, investigate fraud or comply with the law. Our service providers may apply their own legally required retention periods.

Cookies

The website uses essential cookies to operate the online shop, maintain the contents of your basket, support secure checkout and remember your privacy choices.

Optional cookies will only be used with your permission where consent is required. You can accept, reject or change your choices using the cookie controls on the website.

Details of the cookies currently used, their purposes and their duration are available in our Cookie Policy.

Keeping information secure

We use reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access, alteration or disclosure.

Payment-card information is entered into Square’s secure payment system rather than being stored directly by Millbridge Press. No method of sending or storing information online can, however, be guaranteed to be completely secure.

External websites

This website may contain links to external websites, including booksellers, payment providers and delivery services. Those organisations operate independently and have their own privacy policies. Millbridge Press is not responsible for how an external website collects or uses your information.

Children’s information

Although we publish books that may be read by children, this website and online shop are intended for adults and are not designed to collect personal information directly from children.

If you are under 13, please ask a parent or guardian to contact us or place an order on your behalf.

Your data protection rights

Depending on the circumstances, you may have the right to:

  • Ask for a copy of the personal information we hold about you
  • Ask us to correct inaccurate or incomplete information
  • Ask us to delete your information
  • Ask us to restrict how your information is used
  • Object to certain uses of your information
  • Withdraw consent where processing is based on consent
  • Ask for certain information to be supplied in a portable format or transferred to another organisation

These rights do not apply in every situation. For example, we may need to retain order information to meet tax, accounting or legal obligations even if you ask us to delete it.

We may need to verify your identity before responding to a request. You will not normally have to pay a fee for exercising your rights.

Automated decision-making

Millbridge Press does not use personal information to make solely automated decisions that have legal or similarly significant effects on you.

Payment and security providers may use automated systems to detect fraud, assess transactions or protect their services. Their use of information is governed by their own privacy notices and legal obligations.

How to complain

Please contact us first if you have questions or concerns about how we use your personal information. We will do our best to resolve the matter.

You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection: make a data protection complaint to the ICO .

Changes to this policy

We may update this Privacy Policy when our website, services, suppliers or legal obligations change. The latest version will appear on this page together with its revision date.
